Faculty & Staff Email - Exchange Server
- I use a mac computer and I wish to receive my e-mail, what can I do?
If you are using a mac you have two options. You can use Microsoft Entourage which is comparable to Microsoft Outlook (for Windows) and is part of the Mac Office 2008 Suite of applications. Please contact the helpdesk if you would like a copy of the software to install on your mac. Using Entourage will allow you to have access to all exchange resources (mail, contacts, calendars, tasks, etc.). If you prefer to use the Mail client that comes with OS X then you can simply input the IMAP/SMTP settings to gain access to ONLY e-mail. It should be noted if you use any web browser to access the web interface you will only have limited functionality as the webmail will only load in Lite mode on any mac browser.
- Why when I send a reply or forward a message imported from Zimbra is it getting stuck in my outbox?
These messages have embedded Zimbra information in them that the exchange system is having trouble decoding. In order to send a reply or forward a message like this, you will need to copy the body of the message and paste the text into a new e-mail, thus recreating the message.
- I did not do any of the preparation steps before 14th November and my account was not recreated in the new system until now, what happened to email that was sent to me?
It was rejected as undeliverable since there was no matching account.
- Why are my messages to local DSU users are being returned?
In the Zimbra system internal email addressed were formatted at username@adminst.desu.edu and are now invalid for use with Exchange. You will need to update your local contacts and distribution groups that were imported from zimbra the addresses will need to formatted as username@desu.edu . You can check the Global Address List to verify the correct address of any faculty, staff member or student.
- Why doesn’t my local contacts appear in the address book?
You will need to change some settings to see your address book you’ll find the instructions at http://support.microsoft.com/default.aspx/kb/287563.
- I need to print a shared calendar using the daily format and it does not work?
This error will occur if you have been given delegate rights to someone's Calendar but not given rights to their Tasks and are trying to print their calendar using the Daily Style which includes printing task items. The delegate can resolve this problem by modifying the Print style to exclude task items. This can be done by selecting File | Print and clicking on the Define Styles button. Highlight Daily Style and click on the Edit button. Then uncheck the Include TaskPad option and click OK. You will now be able to print the calendar. Alternatively, the calendar owner can modify delegate rights to include permissions for Tasks.
- When connecting from off campus using Outlook 2003 or 2007 why do I keep being prompted to enter may password each time I start Outlook?
This is by design when detached from the campus network you are required to authenticate.
- From off campus my login fails when I try to login?
Make sure that your login is formatted as “adminst\username”.
Your password could also be locked or expired. If you have registered at https://passwordreset.desu.edu you can unlock and reset your password there, if not contact the helpdesk for further assistance.
- Why do I seem to have two sent, Junk and trash folders?
The Zimbra system used different name for these folders:

You should copy the contents of the Zimbra folders into their Exchange equivalents, and then delete the Zimbra folders, or you can leave them as they are it up to you.
- Why can’t I see advanced features using webmail?
The advanced features are only available when using Internet Explorer 6 or higher. All other browsers can only display the light version of the web client.
- I have an email alias for my account will my alias still work after the switch?
We will need to update your account to include any aliases that you are using. If you are using an email address other than username@desu.edu to continue receiving mail using the alias address you must inform the helpdesk ((302) 857-7028 or helpdesk@desu.edu) so that we may update your account.
Example:
Mike Liddicoat’s computer account login is “mliddicoat”. He has been using the alias of mliddico@desu.edu as his primary E-mail address (note the spelling). His default address is mliddicoat@desu.edu , derived from his computer login. If Mike does not inform the helpdesk that he wishes to continue using the alias address, email sent to the alias address will not be delivered to his mailbox.
- Will our Archive folders move over, including the ones from lotus notes that we converted to Zimbra?
Actually when we moved from Lotus Notes to Zimbra messages files were converted to what is known Outlook personal Folder files (.pst), and since you will still be using outlook there is nothing to move. With Outlook open go - File, Open, Outlook Data File you will be able to then select your archived files.
- I have a quick question how will this affect people that receive email on their phones?
Mobile devices that are capable of connection by Activesync, IMAP or POP are supported. Mobile device settings can be found at www.desu.edu/it/email/stafffacultymobile.php. Users will need to follow the manufacturer’s instructions for setting up the devices.
- Will I have to recreate my custom user settings?
Yes, things such as your signature block, mail filtering rules and forwarding will need to be recreated.
- Will my current messages be migrated to the new system?
Yes you will be able to export your E-mail, Contacts, and Calendar from Zimbra to Exchange.
- Will our mail quotas increase?
The standard mail quota will be increased from 250MB to 1GB of online storage. Individual users may request an increase on a case by case basis if storage is available.
- Will there be a change in the size of Attachments we can send or receive.
The standard for attachment size will remain at 25MB per message. Individual users can request an increase on a case by case basis.
- Will the existing problems with calendaring be fixed?
Exchange is the native system for the Outlook mail client; all calendaring features should now work as designed.
